These terms explain, in plain words, what you can expect from Doorcove and what Doorcove expects from you.

What changed

Compared with the version before it:

  • Doorcove LLC, a New Jersey company, runs Doorcove, and support@doorcove.com is the one contact. New Jersey law applies.
  • The Terms give the plans and their prices, and say the assistant is included in every plan, with a fair monthly limit.
  • New parts on the assistant: it changes nothing until you press Add them, sends nothing until you press Send, and its answers can be wrong. The Privacy policy says Anthropic reads what you give it, doesn’t train on it and keeps it for up to 30 days.
  • Online rent is turned on for each owner of your buildings, a business or a person, and tenants can pay by card if you allow it.
  • The Privacy policy names every company that helps run Doorcove: Vultr, Resend, Cloudflare, Google, Plaid, Stripe, Twilio or Telebroad, Anthropic and Let’s Encrypt.
  • It says more about what Doorcove keeps: bank balances, the emails your inbox receives, the history of changes, photos as uploaded, and the backups.
  • New parts on why Doorcove uses your information, how it’s protected, what you can ask for, and children. A request to remove something archives it, since Doorcove doesn’t delete records, except bank data from Plaid, which is deleted when the person who connected the bank asks.
  • The Terms and the Privacy policy name Plaid’s End User Privacy Policy and Stripe’s Connected Account Agreement, and say who is told, and how, if someone gets into information they shouldn’t.
  • New parts in the Terms on availability and support, ending your account and taking your information with you, what Doorcove does with the information you put in about other people, limits on what Doorcove LLC owes, which law applies, and the rest of the agreement.

Who these terms are between

These terms are between you and Doorcove LLC, a New Jersey company, which runs Doorcove. You can reach us at support@doorcove.com.

“You” means the person who signs up and the company they set up on Doorcove. “We” and “Doorcove” mean Doorcove LLC.

By setting up a company, you agree to these terms for yourself and for your company. The people you invite use Doorcove through your company, under these terms.

What Doorcove is, and what it is not

Doorcove is software for running rental property: buildings and leases, rent and the bank feed, repairs and rehab budgets, the owners of your buildings and their shares, statements for the owners you manage buildings for, an inbox for your company’s email, the books for your accountant, and an assistant that reads your files and records.

Doorcove keeps the records your company enters and works out balances, statements and exports from them. It is not a bank, a payment processor, a law firm, an accounting firm or a tax adviser.

You stay responsible for your books, your leases, your tax returns and your duties as a landlord or manager, such as deposits, notices and fair housing. Doorcove helps you keep track; the decisions are yours.

Your account and the people you invite

The person who signs up is the owner of their company on Doorcove. The owner, and managers within their limits, decide who is invited and with which role: manager, accountant, partner, tenant or contractor. Each role sees only its own part. Nobody can change their own role.

A company may show the property owners it manages buildings for their own buildings, statements, repairs and the documents it shares, and nothing else of the company’s.

The owner answers for everyone they invite, and for what those people do in Doorcove. The owner can remove a person at any time.

Keep your password and passkeys to yourself. If you think someone else got into your account, change your password, sign out everywhere from your account page, and write to support@doorcove.com.

Plans and price

Doorcove charges you nothing while it’s early and never asks for your card. Doorcove never receives or holds rent.

When paid plans start, there are three, each month to month: Starter, $59 a month for up to 50 doors; Growth, $179 a month for up to 300 doors; and Premium, $379 a month for any number of doors. There is no onboarding fee, no setup fee and no unit minimum.

Before paid plans start, you’ll be told, and you can choose a plan or stop using Doorcove. Nothing is charged until you choose a plan.

If you signed up while Doorcove is free, you keep the price shown on the pricing page on the day you signed up, for the plan that fits your number of doors, for as long as your company stays on Doorcove.

Every plan includes Doorcove’s assistant, with a fair monthly limit on how much your company can use it. When your company reaches the limit, the assistant stops answering until the 1st of the next month. There are also smaller limits for each person in an hour, and for a company in its first 30 days. To raise a limit, write to support@doorcove.com.

Prices can change for people who sign up later. If you signed up after paid plans started and your price is ever going to change, you’ll be told before it applies, and you can stop using Doorcove instead.

Online rent, through Stripe

Online rent is a choice you make for each owner of your buildings, whether that owner is a business or a person. When you turn it on, Stripe opens an account for that owner, checks who owns it, and asks you to accept Stripe’s own agreement for that account, the Stripe Connected Account Agreement (stripe.com/legal). Stripe’s terms then apply to those payments. You let Doorcove share with Stripe the details of that owner and of its payments that Stripe needs.

Your tenants pay on Stripe’s page, by bank transfer, or also by card if you turn cards on for that owner. Rent your tenants pay online goes straight to the building owner’s bank account through Stripe; Doorcove never holds it.

Online rent uses Stripe’s bank-transfer fee, at most $5.00 a payment, paid by the landlord to Stripe. Doorcove adds no fee. If you accept cards, Stripe’s card fee is 2.9% + 30¢ a card payment, also paid by you.

Doorcove records a payment once Stripe says it has cleared. A bank can return a payment weeks later; Doorcove then shows that rent as owed again. Security deposits are never collected online.

A tenant can turn autopay on for their lease, and turn it off at any time. A payment that has already started still goes through.

Bank connections, through Plaid

When you connect a bank, you sign in to your bank on Plaid’s page, never on Doorcove’s. Plaid collects and handles your bank data under the Plaid End User Privacy Policy, at plaid.com/legal, and Plaid’s own terms apply to that connection. Doorcove reads your accounts’ names, their last four digits, their balances and up to two years of their transactions. It never moves money in or out of your bank.

You can disconnect a bank at any time. The transactions already in Doorcove stay, with how you filed them.

The owner can also delete what Doorcove got from a bank through Plaid, on the Bank accounts page: the bank’s own words for each transaction, the account names, their last four digits and the balances; the rules Doorcove learned from its transactions, and the rules set to apply only to its accounts, lose their words and stop filing new ones. Each line’s date, amount and how it was filed stay, and so do the history of changes and the activity log. It can’t be undone. The Privacy policy says more.

Texts and email

Doorcove sends email for your company: invitations, password resets, address confirmations, receipts, rent reminders, owner statements and the replies you write in the Inbox. Email to tenants, contractors and owners comes in your company’s name.

Each company has its own inbox address on Doorcove. Email sent to it arrives in your Inbox, where the people you allow can read it.

Doorcove texts only people who confirmed a code sent to their phone, about rent and repairs, about 4 a month. Message and data rates may apply. Anyone can reply STOP to stop the texts, or HELP for help, or write to support@doorcove.com. Carriers are not liable for delayed or undelivered messages.

Only add the phone numbers and email addresses of people you have a reason to contact about your buildings.

The assistant

The assistant answers questions about your company’s records and reads the files you give it, such as leases, statements and spreadsheets. The owner, managers and accountants can use it, each within their own role. The owner can turn it off for the company.

Its answers can be wrong. Check what matters before you rely on it, the same way you would check a person’s work.

It changes nothing on its own. When it has something to add or to archive, it shows you a plan first, and nothing is added or archived until you press Add them. It never sends a message: it can write a draft, and nothing is sent until you press Send. It never moves money, deletes anything, or changes people, roles, bank connections or security settings.

Give it only files and information you have the right to share. The Privacy policy says who reads what you give it.

Don’t use the assistant to decide who to rent to.

Acceptable use

  • Don’t use Doorcove for anything illegal, or to store information you have no right to hold.
  • Don’t try to reach another company’s information, or to get around the roles Doorcove enforces.
  • Don’t probe, overload or attack Doorcove, or use automated tools to sign up or to claim addresses.
  • Don’t resell access to Doorcove.
  • Don’t choose an address that pretends to be someone else’s company.
  • Don’t use Doorcove to send messages to people who haven’t agreed to get them.
  • Don’t use Doorcove, or its assistant, to treat people unfairly because of who they are, against fair housing or any other law.

A company that breaks these rules may be suspended or closed. Where we can, we tell the owner first.

Rules and numbers you rely on

Doorcove applies some New York and Pennsylvania rules on deposits and late fees, and prepares Schedule E, Form 8825 and 1099 totals from your records. They come from public sources, not from a lawyer or an accountant: check them with yours before you rely on them.

Doorcove shows the numbers your company records. A statement or an export is only as right as what was entered.

Your information

What you put into Doorcove stays yours. You let Doorcove LLC store it, copy it into backups, work with it and show it to the people you invite, only to run Doorcove for you. That includes passing parts of it to the services the Privacy policy names, for the features you use.

You confirm that you have the right to put in what you enter, including your tenants’, contractors’ and owners’ details, that you collected them lawfully, and that you’ve told those people, as the law asks, that you keep their information in software such as Doorcove.

For the information you put in about other people, Doorcove LLC works for you. It works with that information only as you use Doorcove and as these terms say. The people who run Doorcove keep it confidential. The services the Privacy policy names receive only what their part needs. We help you answer people who ask about their information. When you leave, you take a copy with the exports; Doorcove doesn’t delete it, as Ending your account says.

If someone gets into your company’s information who shouldn’t, we tell the owner by email, as quickly as we can, and help you tell the people affected.

Doorcove doesn’t sell your information, and doesn’t use it for advertising.

Addresses

Your Doorcove address is yours to use while your company is on Doorcove. Addresses are never reused, even after a company is archived.

An address that misleads people or infringes someone’s rights may be refused or changed.

Availability and support

We work to keep Doorcove running and your information safe. Sometimes it will be down, for an update or a problem, and we can’t promise it will always be available.

Support is by email at support@doorcove.com. We answer as soon as we can.

Ending your account and taking your information with you

You can stop using Doorcove at any time. To close your company, write to support@doorcove.com from the owner’s email address.

Before you go, the owner and the accountant can download the books exports at any time: Schedule E, Form 8825, 1099 totals, all transactions, the rent roll, tenant ledgers and the receipts. Documents and photos can be downloaded one by one. For a copy of anything else, write to support@doorcove.com.

Doorcove doesn’t delete records, with one exception: the bank data Doorcove got through Plaid is deleted when the person who connected that bank asks. A closed company is archived: its address stops working and its information is kept, hidden from everyone. The Privacy policy says what that means for your information.

We may close a company that breaks these terms, or, once paid plans start, one that doesn’t pay. Where we can, we tell the owner first.

No warranty

Doorcove is provided “as is”, to the extent the law allows, without promises of any kind beyond what these terms say. It is run with care, but nobody can promise it will always be available or free of mistakes.

Doorcove LLC is not responsible for the services other companies run, such as Stripe, Plaid or your bank, even when Doorcove connects you to them.

Limits on what Doorcove LLC owes you

To the extent the law allows, Doorcove LLC is not responsible for indirect losses that come from using Doorcove or from not being able to use it, such as lost profits, lost rent, fines, or the cost of fixing records.

To the extent the law allows, if Doorcove LLC owes you anything, the most it owes is what you paid Doorcove in the 12 months before the claim, or $100, whichever is more.

If someone makes a claim against Doorcove LLC because of what your company put into Doorcove or did with it, such as information you had no right to hold or messages to people who didn’t agree to get them, your company covers that claim.

Which law applies

New Jersey law applies to these terms. Any dispute about them, or about Doorcove, goes to the state or federal courts in New Jersey.

If something goes wrong, write to support@doorcove.com first. Most problems can be fixed that way.

Changes to these terms

When these terms change, the new version is published here, and each company’s owner sees a notice on their home in Doorcove for 30 days that links to what changed. The version your company agreed to is recorded, and earlier versions stay readable here.

If you keep using Doorcove after a change, the new version applies. If you don’t agree with it, you can stop using Doorcove.

The rest of the agreement

  • We give notice by email to the owner’s address on Doorcove, or on the owner’s home in Doorcove. You give notice by writing to support@doorcove.com.
  • We may pass these terms to a company that takes over Doorcove, which is then bound by them. You may pass yours to someone else only if we agree in writing.
  • If a court finds a part of these terms can’t be enforced, the rest still applies.
  • These terms and the Privacy policy are the whole agreement between you and Doorcove LLC about Doorcove.
